Account book and members
The space where your accounting lives and who has access
What it's for
An account book is your workspace in Cuéntamo: accounts, categories, movements, recurring items, budgets. You can have several (one for home, another for your freelance activity, another shared with your partner). Here you set the book's name, which currency to use as reference, who else can access it, how the quick menu looks and make backups.
Book name
What it's called. "Home", "The Smiths", "Photography Studio"… Whatever you like. It appears in the top bar selector when you have multiple books, so you know which one you're working in. Only the owner can change it.
Base currency
The currency in which you see totals: the dashboard balance, charts, forecast. If all your accounts are in euros, leave it as EUR and forget about it. If you have an account in another currency (with Cuéntamo Más), Cuéntamo converts balances to the base currency at the day's exchange rate. The conversion is only for displaying totals: each movement is stored in its original currency.
Activating the freelance module
If you're a freelancer and want to handle tax accounting right here, activate the module. When you do, three new options appear in the sidebar: Tax forecast, Tax books and Third parties. And a Freelance tab is added to Settings for specific adjustments (equivalence surcharge, tax payment account…).
Only the book owner can activate it. Requires Cuéntamo Más, except during the 14-day trial period.
Sharing the book with others
You invite another person by email. When they accept, they see and edit everything: accounts, movements, recurring items, budgets. It's like giving them a key to the entire flat.
There are two roles:
- Member: full access, can create and modify everything.
- Read-only (viewer): sees everything but can't change anything. Useful for a family member to check without risk of breaking something.
Invitations arrive by email and expire in 7 days. If the invitee doesn't have a Cuéntamo account, they create one when accepting.
The free plan lets you try 30 days with 1 member. Cuéntamo Más allows up to 5 active members per book.
Quick access buttons for (+)
You customise the buttons that appear when you tap + in the bottom-right corner. You define which categories are there, in what order, with which icons, and pre-set the account, concept and amount for each one. It's what turns logging an expense into a two-tap affair. There's an entire article about the (+) button and the quick access menu.
Export and import (backups)
Export downloads a single JSON file with everything in the book: accounts, categories, recurring items, movements, budgets, tax third parties, tax books. It's your backup. Save it to Drive, Dropbox or wherever you like.
Import is the reverse operation: you take a JSON and load it into the book. Warning: it replaces everything. It's destructive. Use it to restore a backup or to migrate data from one book to a new one.
Only the book owner can export and import.
